SUMMARY

SUMMARY

The TransLatin@ Coalition (TLC) is a nonprofit organization that is growing steadily and seeking continued growth and sustainability. TLC seeks an upper management position as a mission-focused, seasoned, strategic, and process-minded Program Manager. Reporting to the Director of Operations & Services (D.O.S.), the Program Manager will assist in developing and implementing policies and procedures related to the organization’s programs, services, and strategies. The Program Manager contributes to the performance of the organization’s strategic goals. In addition to the organization’s strategic components, the Program Manager may assist with developing and implementing more sophisticated policies and procedures in program management and general operational realms. This is an outstanding opportunity to help lead the operational functions, ensuring that TLC has the active growth and maturity to deliver the organization’s mission. This position will have a six-month performance probationary period upon hiring.

In this role, the Program Manager will assist the organization in managing the business operations team with these primary objectives:

Business Sustainability. Collaborate across the organization to forecast and model a long-term sustainability strategy for our non-profit organization and shape the business strategy while aligning with The TransLatin@ Coalition mission. Work with the C.E.O. & C.O.O. and upper management to identify and grow alternate funding strategies that complement the existing, highly successful grants- and contracts-based funding model.

Leadership. Work with upper management to influence the direction and impact of our growing organization, guide organization-wide strategy, set core values and culture, and work across teams to ensure operational success. Ensure programmatic operations and understand the tools and support necessary to achieve organizational goals.

Business Operations. Assist in setting the business and operational strategy for the organization, with accountability for performance and results of all business functions. Serve as a lead director and subject matter expert on operations strategy and organizational issues. Set and implement strategies to ensure work is effectively coordinated across our internal project-based and function-based teams.

 

ESSENTIAL FUNCTIONS

  • Attendance and punctuality.

  • Work in program development, assist in identifying gaps in programming services and support securing funding to establish new innovative programming that addresses the specific needs of the people we serve.

  • Assist in overseeing the implementation of their programs, services, and activities.

  • Assist in enforcing all the organizational policies and implement corrective measures when needed.

  • Oversee the implementation of all organizational and safety protocols

  • Assist in overseeing quality assurance for services provided to the Transgender, Gender Non-Conforming, and Intersex people who access services at The TransLatin@ Coalition and ensure that services are provided culturally affirmatively.

  • Maintain continuous lines of communication, keeping the management informed of all critical issues.

  • Assist in submitting an annual operational plan and report that aligns with the strategic plan and coordinates with the organization’s operations yearly.

  • Assist in developing and implementing systems for reporting, measurement, and evaluation to support the effectiveness of programs and service delivery of their team.

  • Assist in administrative aspects, including but not limited to monthly, quarterly, and annual program reports, proposal preparation, and grant writing support when needed.

  • Assist in overseeing the execution of programs and services and ensure all appropriate paperwork is submitted, including invoices, etc., to the accounting/finance department.

  • Assist the executive team in leading a high-performing team to the next level by developing and implementing recruitment, training, and retention strategies.

  • Ensure that all program activities operate consistently and ethically within the organization's mission and values.

  • Cultivate the values of TLC within the organization.

  • As necessary, represent the organization externally, particularly in external matters, negotiations, and the development of its strategies, such as fundraising, public relations, and partnerships.

  • Must have legitimate transportation and current insurance to run occasional errands, appointments, and out-of-office site visits as needed.

  • Other duties as assigned and required by job demand and as required by management.

 

MINIMUM QUALIFICATIONS - Knowledge, Skills, and Abilities Required

  • Master’s Degree in Public Policy, Social Work, Psychology, or Public Health-related fields or at least ten years of working with people of trans and gender-expansive experience. 

  • At least five years of professional experience managing programs overall and a minimum of five years managing and supervising staff.

  • Strong relationship builder and communicator with experience leading a diverse group and creating a great work team, environment, and organizational excellence.

  • Able to assist in creating tangible reporting and program mechanisms highlighting measurement and evaluation of program and organization effectiveness.

  • They demonstrate integrity and strive for excellence in their work. They have experience leading others to new levels of effectiveness and programmatic impact.

  • Passionate about TLC’s mission and able to promote and communicate the organization's philosophy, mission, and values to external and internal stakeholders.

  • Ability to travel, work weekends, and be willing to meet the demands of the work as one of the organization's leaders.

  • Proof of employment eligibility, valid driver’s license, and yearly automobile insurance.

  • Updated tuberculosis test (annual requirement), reviewed and dated by a nurse practitioner.

  • Knowledgeable of PC hardware and software (Windows, PowerPoint, Word, and Excel a must).

  • Able to work with diverse communities (e.g., multi-gender, ethnic, generation, monolingual Spanish speakers, lesbian, gay, bisexual, transgender, substance users, homeless, sex workers, and unable people).

  • Knowledge in managing a busy calendar, including scheduling meetings, coordinating travel arrangements, and organizing events.

  • Ensure that all high-priority messages are highlighted and responded to promptly.

  • Identify and highlight critical timelines and responses.

  • Bring creative solutions to explore and develop with the executive team.

  • Stay in front of evolving day and agenda. As priorities shift, meetings run long, or unanticipated issues arise, take point on communicating changes to affected persons and facilitating rescheduling, re-prioritizing, or re-assigning to ensure nothing is dropped in transition and no one is left hanging.

  • Ability to handle multiple projects and incoming requests; experience taking the initiative and using independent judgment in non-routine matters.

  • Excellent time management skills, with the ability to prioritize and work accurately within a fast-paced environment.

  • Exceptional attention to detail, highly organized, and proactive.

  • Strong communication skills, including oral, written, and interpersonal, are required to work effectively with high-level donors and stakeholders.

EXPERIENCE, COMPETENCIES, AND QUALIFICATIONS REQUIRED

  • Understanding relevant community issues to influence policy.

  • Able to articulate organizational needs to stakeholders and grant funders.

  • Experience and knowledge of MS Access and Outlook Software.

  • Bilingual in Spanish and English Preferred.

  • Knowledge of specific policy needs and issues of Trans and gender-expansive people.

  • Excellent communication skills, including writing and reading skills.

  • Knowledge of and experience in non-profit business models and sustainability.

  • Knowledge of and experience with trans and gender-expansive people is highly desirable.

  • Deep understanding of the principles and activities of delivering influential people services, talent management, financial management, contracting, grant management, and facilities and administrative services.

  • Experience implementing the principles of diversity, equity, and inclusion in practices and processes related to staff, products and services, and partnerships.

  • Experience in outreach and strategic development.

  • Experience leading organizations through transformational change.

  • Maintaining compliance with all operations functions and aligning with industry standards and best practices.

 

NON-ESSENTIAL QUALIFICATIONS- Knowledge, Skills, and Abilities

  • Experience and knowledge of MS Access and Gmail Suite.

  • Bilingual in Spanish and English is preferred.

  • Knowledge of specific policy needs and issues of TGI people.

  • Understanding how manager meetings are facilitated, keeping notes, and ensuring continuous follow-up on pending items.

  • Excellent writing and reading skills.

  • Ergonomically safe office environment with desktop computer, desk, chair, and natural light from windows.
